American Eagle Instruments/Young Innovations is looking for a Clinical Team Administrative Assistant. This position provides administrative, project and clerical support to both the Marketing and Sale Departments in such areas as: ongoing marketing programs and processes, promotional activities, internal/external communications, sales materials management and distribution, database management and special projects; and performs related duties as required.
Provides administrative support for the American Eagle Instruments and Young Innovations Clinical Hygiene Programs.
Accurately creates and maintains database of participant information. Contacts participants to obtain follow-up information regarding samples. Completes registration documents for company participation in various trade shows.
Coordinates delivery of samples to hygienists, ensuring deliveries are on time and complete. Supports program participants through the accurate entry of orders, product return, order inquiries such as tracking information and product ETAs, product advice/knowledge, communication of product availability information and any additional issue resolution.
Consolidates customer data on documents received at various events.
Makes travel arrangements for departmental staff, as needed.
Three to Five years’ work experience providing administrative support in a high volume, fast-paced environment. Some college level course work or an Associate’s degree, preferred. Or an equivalent combination of training and experience. Prior experience with an order management system is helpful.
Will be required to develop expertise with company products, services and customers (training will be provided). Intermediate to advanced knowledge of MS Office, including Excel, Word, and Outlook, with heavy emphasis on Access Database.
Ability to communicate effectively and professionally with customers, both verbally and in writing. Ability to answer incoming phone calls periodically throughout each day. Ability and desire to multi-task and quickly reset priorities as dictated by workflow. Ability to prioritize, to handle multiple tasks, to work well under pressure and to meet deadlines. Ability to continuously be accurate and precise throughout an entire workday.
Excellent interpersonal and communication skills. Maintenance of a positive and enthusiastic attitude throughout each workday. Strong organization skills. Detail oriented.
